How Our Campaign Windows Work
Amen.Travel operates on a regional campaign model. We do not travel to individual properties on demand — we plan multi-property tours to a specific region in advance, and open a booking window for hotels in that region to participate.
Our current open campaign window is: December 2025 – February 2026 · East Asia (China, Japan, South Korea). Properties in this region may book now to be included in this campaign cycle.
Because travel, production, and logistics are planned well in advance, bookings must be confirmed at least 60 days before the campaign period begins. Late enquiries cannot be accommodated.
Minimum booking threshold: Each regional campaign requires a minimum number of confirmed hotel partners to be viable. If confirmed bookings do not reach the threshold needed to cover travel, accommodation, and production costs, Amen.Travel reserves the right to cancel or postpone the campaign. All deposits are refunded in full in this event. We will notify all confirmed partners no later than 45 days before the campaign start date if a cancellation is required.
By booking, partners acknowledge and accept this condition. We will always attempt to proceed — cancellation is a last resort, not a routine practice.
Essentials Package ($300) — Remote Delivery
The Essentials package ($300) is delivered remotely. We do not travel to your property for this package. This is by design: a single $300 booking does not cover the cost of international travel, accommodation, and production for one property alone.
How remote delivery works: You send us your existing photos and any relevant property materials. We produce an editorial-quality set of social media posts, Google Maps content, and written copy using your supplied assets. Everything is reviewed and approved by you before going live.
Exception: If multiple properties in the same region have booked with us and the combined bookings meet the regional minimum threshold, we may travel to your destination and upgrade the delivery to on-site production at no extra charge. We will notify you if this applies.
If on-site production is important to you, we recommend the Social Suite ($700) or higher, which are included in campaign travel when the regional minimum is met.
Our Philosophy
Most hotels invest in a beautiful website and then wait for guests to find it. The problem is that guests no longer start their search on hotel websites — they start on Google Maps, Instagram, and TikTok. If your property isn't visible and compelling on those platforms, you are invisible to a significant portion of your potential market.
Amen.Travel exists to close that gap. We create editorial-quality content — photography, video, and written copy — and distribute it across Afrofeast's 1.8M+ monthly audience, while simultaneously optimising your Google Maps presence to improve local search ranking. The result is a property that guests discover, trust, and book.
Our approach is grounded in three principles: quality over quantity (fewer, better pieces of content outperform daily mediocre posts), authenticity (we travel to your property and create content on the ground — nothing is staged remotely for on-site packages), and transparency (nothing goes live without your approval).
What We Need From You
A successful partnership depends on close collaboration. Before the shoot commences, we ask the GM or Owner to provide:
- A designated point of contact (GM or Owner) who is reachable by phone and email throughout the shoot period
- Confirmation of rooms allocated for the stay and shoot
- F&B credits for dining content (included in package)
- Wi-Fi access throughout the property
- A brief on the hotel's brand tone, target guest profile, and any rooms or areas to prioritise or avoid
- Any brand guidelines, logos, or existing marketing materials for reference
- Written approval at each approval gate (see Section 4)
Day-by-Day Partnership Timeline
The timeline below applies to most packages. Shoot days vary by package (Essentials: 1 day, Social Suite: 1–2 days, Full Social: full day, Full Campaign: 2 full days). Rest and logistics days are a planned and professional part of the production schedule.
PRE-ARRIVAL
Booking Confirmed
Deposit received. Welcome email sent to GM/Owner. Partnership Agreement issued for signing.
Onboarding
Onboarding questionnaire sent to GM/Owner covering: target guest profile, priority spaces, brand tone, any restrictions. Hotel completes and returns within 48 hours.
Creative Brief & Pre-Shoot Approval
Amen.Travel prepares the shot list, mood board, and wardrobe/styling direction based on the onboarding responses. Submitted to GM/Owner for written approval. No shoot proceeds without this sign-off.
Logistics & Travel Planning
Travel arrangements confirmed. Logistics finalised — transport, equipment, scheduling. Wardrobe and styling prepared. Final check-in with GM/Owner to confirm arrival details.
ON-SITE
Arrival & Property Walkthrough
Check in. Meet GM/Owner for a walkthrough of the property. Identify shoot locations, confirm lighting conditions at different times of day, review any last-minute changes to the brief.
First Shoot Day
Full shoot day. Photography and/or video as per the package. Daily check-in briefing with GM/Owner each morning to confirm the day's plan. All locations and materials approved before filming begins.
Rest & Logistics Day
Planned rest day. Used for wardrobe review, local area recce (to provide geographic context in content), reviewing footage captured, and preparing for the next shoot. No shoot activity — this is part of the professional production schedule.
Second Shoot Day (Full Social & Campaign only)
Additional shoot day for higher-tier packages. Focus on any content not captured on Day 9, alternative lighting conditions, additional F&B content, or lifestyle/location content.
Final Day & Depart
Final review of footage on-site. Check-out. Departure. GM/Owner contact remains available for any queries on files captured.
POST-PRODUCTION
Editing & Content Selection
All photography and video reviewed and edited. Captions, hashtags, and Google Maps content drafted. Content selected for each platform based on format requirements (Instagram square/portrait, TikTok vertical, Pinterest landscape, etc.).
Client Review & Approval
Edited content package submitted to GM/Owner for review. This includes all photos, video edits, captions, and planned posting schedule. Nothing is posted until this approval is received. GM/Owner has 48 hours to respond.
Revisions
One major revision round incorporated based on GM/Owner feedback. Revised content resubmitted for final sign-off.
Final Sign-Off & Go Live
Written final approval received from GM/Owner. Content scheduled and published across agreed platforms. Google Maps updated. Partnership complete.
Note: Timelines may vary slightly based on package tier and travel logistics. Essentials packages are delivered within 14 days. Campaign packages within 28 days. Rest and logistics days are always included.
Approval Gates
We operate four mandatory approval gates. Nothing progresses past each gate without written confirmation from the GM or Owner.
Pre-Shoot Approval
Shot list, mood board, locations, and wardrobe direction. Submitted before arrival. Required before any shoot commences.
On-Site Daily Briefing
Each morning during the shoot, the day's plan is reviewed with the GM/Owner. Any changes to scope are flagged and agreed before filming.
Post-Production Review
Edited content submitted for review before scheduling. Includes photos, video, captions, hashtags, and posting plan.
Final Written Sign-Off
Explicit written approval (email confirmation) from GM/Owner before any content is published to any platform.
What You Receive
Depending on your package, you will receive some or all of the following:
- Edited photo library (horizontal and vertical formats, licensed for commercial use)
- Social media posts across Instagram, TikTok, and/or Pinterest
- Short-form video (Reels / TikTok format)
- Google Maps photo update with fresh editorial images
- Written verified Google Maps review from a genuine traveller
- Distribution to Afrofeast's 1.8M+ monthly audience across 9 platforms
- 3-month content publishing calendar (Full Campaign only)
All content is yours to use across your own marketing channels in perpetuity at no additional cost.
How We Measure Success
We provide a post-campaign summary report covering:
- Reach & impressions — how many people saw the content on Afrofeast's platforms
- Engagement — likes, comments, saves, shares on published posts
- Google Maps uplift — view count before and after the Maps update (where data is available)
- Follower growth — new followers on any Afrofeast account that tagged the property
We are honest about what we can and cannot measure. Social reach is tracked from our own analytics. We cannot guarantee specific booking conversion rates, as that depends on many factors outside our content.
Our Code of Conduct
We hold ourselves to the following standards on every partnership:
- We represent your property accurately. No exaggeration, no misleading claims about facilities or pricing.
- We respect guest privacy. No guests are photographed or filmed without explicit consent.
- We keep your business information confidential. Unpublished rates, occupancy, and internal operations are never disclosed.
- We do not feature competing properties in the same content cycle.
- We maintain professional conduct throughout the stay — we are guests representing a brand, and we treat your team and your guests accordingly.
- If you request content removal for a genuine reason (factual error, guest privacy concern, brand change), we action it within 48 hours.
We ask the same in return: a safe and respectful working environment, timely responses at approval gates, and honest communication if something isn't working.
Frequently Asked Questions
What if we don't like the final content?
Two revision rounds are included — one major and one minor. If the brief was followed and all approval gates were completed by your GM/Owner, creative dissatisfaction alone is not grounds for a refund. This is why the pre-shoot approval gate is so important — it's the moment to shape the direction.
Can we request specific rooms or areas to avoid?
Yes — this is covered in the onboarding questionnaire and confirmed at the pre-shoot approval gate. You are in control of what we access and photograph.
What happens if we need to reschedule?
Rescheduling requests made more than 30 days before the stay are accommodated at no penalty (subject to availability). Under 30 days, cancellation terms apply.
Who owns the content after the partnership?
You receive a perpetual, royalty-free licence to use all delivered content commercially. Amen.Travel / Afrofeast retain copyright and the right to publish on our own platforms.
Can we pay with accommodation instead of cash?
Yes — all packages offer an accommodation + meals exchange option. This is agreed at the time of booking. No cash refund applies to exchange arrangements.
How many people travel with Amen?
Typically Amen travels solo or with a small team of two. Specific accommodation requirements are confirmed at the logistics stage.
Will the content go live immediately after the shoot?
No — content goes live only after you have given written final approval. The editing and review process takes 7–14 days after the shoot ends.
What if we have a dispute?
We raise it directly in writing within 7 days. If unresolved after 14 days, we agree to mediation. We prefer conversation over conflict — most issues are resolved quickly when raised early.
Our Right to Cancel & Update These Terms
Amen.Travel reserves the right to cancel any booking or campaign at any time for the following reasons:
- The regional minimum booking threshold is not met within 45 days of the campaign start date
- Travel conditions, safety concerns, or visa restrictions make the campaign unfeasible
- The partner hotel fails to meet onboarding requirements or does not respond within agreed timeframes
- Circumstances beyond our reasonable control (force majeure)
In all cancellation events initiated by Amen.Travel, partners receive a full refund of any deposit paid within 7 business days.
We also reserve the right to update this methodology, our pricing, and our service terms at any time. Changes take effect for new bookings made after the update date. Confirmed bookings are honoured under the terms in place at the time of booking.
